Who we are

InvoiceAloud is made by Vantalyst Labs Inc., a company registered in Delaware in the United States. Sabrina Brooks runs it. When this page says "we" or "us," that is who it means.

One address reaches a person, not a ticket queue: support@invoicealoud.com.

This policy covers two things: this website at invoicealoud.com, and the InvoiceAloud app. The app has not launched yet. The parts of this page about the app describe how it is built to work, and we will update this page as it ships.

The waitlist on this website

If you join the waitlist, you type in one thing: your email address. We do not ask for your name, your phone number, your company, or anything else.

What arrives with it

Two other things reach our server when you submit the form, and neither is optional in how the web works:

This website also loads its typeface from Google Fonts, which means your browser asks Google's server for the font file and Google sees your IP address in the process. That is the only outside company this website contacts while you read it.

What we do with your email address

We add it to our email list and send you a confirmation. After that we email you when there is real news, starting with the day the app goes live. Every one of those emails has an unsubscribe link, and unsubscribing takes one click.

What we do not do

We do not sell the list. We do not rent it, trade it, or hand it to anyone else to market to you. There are no advertising trackers on this website and no third-party analytics scripts.

The hidden field. The waitlist form has an extra box you cannot see. It exists to catch automated spam, because a program fills in every box and a person only fills in the visible one. If you are a person, you will never touch it and it will never hold your information.

The InvoiceAloud app

The app is not released yet. When it is, here is what it will hold.

Things you give us on purpose

A word about your customers. When you put a customer's name and email on an invoice, you are giving us information about somebody who never agreed to anything with us. We hold it only to make and send that invoice for you. We do not market to your customers, and we do not add them to any list of ours.

Things the app records on its own

The app does not run advertising trackers, and it does not build a profile of you to sell or target.

Your voice, in detail

This is the part most people want to read twice, so it gets its own section. The short answer is that InvoiceAloud does not record you.

The app has no microphone in it

When you speak a job into InvoiceAloud, you are using the little microphone button on your own phone's keyboard, the same one you use for texting. That is your phone's feature, not ours.

InvoiceAloud does not ask for microphone permission. It has no record button, it does not capture audio, and there is no recording for us to keep, lose, or hand to anybody. What arrives at our end is text, the same as if you had typed it.

Your phone turns your speech into text using whoever made your phone, which is Apple on an iPhone. That happens under their privacy policy, before InvoiceAloud is involved at all. If you want to know what your phone does with dictation, that is a question for Apple, and it is a fair one to ask.

What happens to the text

  1. You dictate, and your phone puts text on the screen. You can see it and edit it before anything happens.
  2. You tap the button, and that text is sent to OpenAI, which works out which parts are hours, which are materials, and what each one costs.
  3. The line items come back to you to check and fix. Nothing is sent to your customer until you approve it.

We send at most 4,000 characters of that text at a time, and nothing else goes with it. Not your name, not your account, not your customer's details.

What we do not do

Why we are allowed to hold it

If you are in the United States, this section is background. If you are in the United Kingdom or the European Union, the law asks us to name a reason for every piece of data we hold. Ours are:

Other companies that touch your data

We are a small company and we do not run our own data centre. Some of your information passes through services we pay to do a specific job. They are allowed to use it to do that job and nothing else.

We may also hand over information if a court or the law requires it. If that ever happens and we are allowed to tell you, we will.

If we ever sell the business or merge with another one, your information would go with it. We would email you before that happened, not after.

Closing your account is not the same as deleting your data, and we will make the difference obvious in the app rather than hiding it in this page.

Your rights, and how to use them

Wherever you live, you can ask us to do all of the following. You do not need to give a reason.

Email support@invoicealoud.com. We answer within 30 days, and usually much sooner. We will never charge you for asking, and we will never treat you worse for asking.

If you are in California

California law gives you the rights above by name, plus the right not to be discriminated against for using them. It also asks us to say this plainly: we have not sold or shared your personal information, and we do not intend to.

If you are in the United Kingdom or the European Union

You also have the right to object to how we use your data, the right to ask us to restrict it, and the right to complain to your data protection regulator. We would rather you told us first so we can fix it.

How we protect it

No company can promise a system will never be broken into, and we are not going to pretend otherwise. What we can promise is that if your data is ever exposed, we will tell you what happened, when it happened, and what to do about it, as fast as we know it, and we will not bury it in an update email.

Children

InvoiceAloud is a tool for running a business and is not meant for children. We do not knowingly collect information from anyone under 16. If you believe a child has given us information, email us and we will delete it.

Where your data is stored

We are a United States company and our services run on servers in the United States. If you use InvoiceAloud from another country, your information will be sent to and stored in the United States, where the privacy laws are different from your own. Using the service means you understand that.

Changes to this policy

This page will change, because the app is still being built. When it does, we will change the date at the top. If a change actually matters, such as a new company handling your information or a new use for your data, we will email you about it rather than quietly editing this page.
